Privacy Policy
Dozer Dispatch is a voice assistant for service technicians that answers from the shop manuals you give it. It is run by Karman Line AI, LLC (“we”, “us”). This policy explains what we collect, why, who helps us process it, and how you can have it deleted. Questions: dispatch@dozerdispatch.com.
1. What we collect
Account information
When you sign in with Google we receive your name, email address and profile picture, plus a Google account identifier. We use them to create and secure your account. We never see your Google password.
What you put into the app
- Manuals. PDFs you upload, and which books from our shop library you add to your machines.
- Machines and job records. Machine names and status, logbook entries (including hour-meter readings), sign-offs with the name and initials you enter, notes, parts lists, and job reports.
- Photos. Photos you take or upload, and the findings our system marks on them.
- Conversations. What you say or type to the assistant and its replies. For voice sessions we keep the text transcript and a summary, and the pages it cited, so the assistant remembers your machine next time. Our voice provider, ElevenLabs, records the audio of voice sessions. While Dozer Dispatch is in beta, recordings are kept for 6 months and then deleted; the text transcript is kept with your account.
- Support messages. What you write to the in-app help assistant, and any request it passes to us.
- Phone numbers you give us, for example to send a shop invite by text or so we can call you back.
Billing
Payments are handled by Stripe. We receive your subscription status, plan and payment history from Stripe. We do not receive or store your full card number.
Usage and device information
- Minutes of voice use and counts of photo reads, so we can bill fairly and keep the service running.
- Our web server logs each request (IP address, browser, page and time) for security and troubleshooting. These logs are deleted after 14 days.
- Our website and app use Google Analytics (through Google Tag Manager) to see how visitors use the pages. It uses cookies and collects device and usage information.
The website assistant
If you talk to the voice or text assistant on dozerdispatch.com, the conversation is processed by ElevenLabs, which keeps the audio for 6 months during the beta and then deletes it, and keeps the transcript; we keep the call length. If you ask it to have us contact you, it collects the name and phone number or email you give it and texts that to us.
2. How we use it
- To run the service: find answers in your manuals, show the right page, read your photos, keep your parts lists and logbook, and remember each machine.
- To bill you and to prevent abuse of free trials and usage limits.
- To answer support requests and to tell you about changes to the service or your account.
- To keep the service secure and fix problems.
- To understand which features are used so we can improve them.
- To spot patterns across problems. We review and analyze conversations, transcripts, recordings and photo findings across users (for example, which symptoms tend to go with which fix on a given model) so the assistant can help everyone diagnose machines faster. Other users never see your name, account, shop or records; what they may benefit from is the pattern, not your data.
We don't sell your personal information, and we don't share it for cross-context behavioral advertising.
3. Who processes your data for us
We use these service providers. Each one receives only what it needs to do its job for us, under its own privacy and security terms.

We may also disclose information if the law requires it, to protect someone's safety, or as part of a sale or merger of the business (in which case this policy keeps applying to your data).
4. Who can see your data inside the app
- Your machines, manuals, photos, logbook and conversations are visible only to your account.
- If you join or invite others to a shop workspace, its members see that shop's machines and job records, and entries show who made them.
- If you choose to submit a manual to the shared shop library, it can be offered to other users after review. You confirm you have the right to share it when you submit.
4a. Text messages
We text your phone only for invites you asked to receive by text and for replies to requests you made, as described in our SMS Terms. Reply STOP to any message to opt out. We don't share mobile numbers or text messaging consent with third parties or affiliates for their marketing or promotional purposes. Text messaging originator opt-in data and consent are never shared with anyone, except the providers that deliver our texts for us (Quo and its carriers).
5. How long we keep it
We keep your account data while your account is open. While the app is in beta, voice recordings are kept for 6 months and then deleted; transcripts are kept with your account. Server logs are deleted after 14 days. When you ask us to delete your account, we delete your data within 30 days; copies in our backups are removed as those backups age out. We may keep billing records as long as tax and accounting law requires.
6. Your choices and rights
- Delete things in the app: you can remove logbook entries, parts and books from your machines at any time.
- Delete your account: email dispatch@dozerdispatch.com from the address you sign in with. We'll delete your account, machines, uploaded manuals, photos, conversations and job records within 30 days and confirm when it's done.
- Get a copy of your data, or ask us to correct it: email us. Job reports and parts lists can also be printed or exported in the app.
- Analytics: you can block analytics cookies in your browser or with Google's opt-out add-on.
Depending on where you live, you may have further rights under laws such as the Texas Data Privacy and Security Act or the California Consumer Privacy Act. Email us to use them; we won't treat you differently for doing so.
7. Security
We use encrypted connections (HTTPS), store sign-in sessions with secure cookies, limit access to our server, and keep backups. No system is perfectly secure; if we learn of a breach that affects your information, we'll tell you as the law requires.
8. Children
Dozer Dispatch is for adults. You must be 18 or older to use it, and we don't knowingly collect information from anyone under 18. If you believe a minor has given us information, email us and we'll delete it.
9. Changes
If we change this policy, we'll update the date at the top. If a change is significant, we'll tell you in the app or by email before it takes effect.
